What to include in a UK invoice
Use the builder above, then check the legal identity, customer, description, dates, numbering, amounts and agreed payment terms. VAT fields apply only where relevant to your registration and transaction.
What must an invoice include in the UK?
GOV.UK says a standard invoice should include the key information needed to identify the transaction, supplier, customer and amount owed.
- a unique invoice identification number
- your business name, address and contact information
- the company name and address of the customer you are invoicing
- a clear description of what you are charging for
- the date the goods or services were supplied
- the invoice date
- the individual amounts being charged
- VAT where applicable
- the total amount owed
What should a sole trader put on an invoice?
If you are a sole trader, GOV.UK says your invoice should also show your own name and any business name you use.
If you trade under a business name, include an address where legal documents can be delivered to you.
That immediately tells the customer who legally operates the business and which trading name appears on the invoice.
What should a limited company put on an invoice?
A limited company’s invoice needs to identify the company properly.
GOV.UK says you must use the full company name as it appears on the certificate of incorporation.
If you decide to put directors’ names on your invoices, include the names of all directors.
What invoice number should I use?
Each invoice needs its own unique identification number. The system does not need to be clever. It needs to be consistent.

What is the difference between an invoice date and supply date?
The invoice date is the date you create or issue the invoice. The supply date records when the goods were supplied or the service was performed.
Supply date: 10 August
Invoice date: 12 August
Should an invoice include a payment due date?
Yes. Even where your underlying payment terms already exist elsewhere, showing the date clearly removes ambiguity.
What payment terms should a small business use?
You can agree your own payment terms with customers. Depending on the work, that might mean:
- payment upfront
- a deposit before work begins
- payment immediately on completion
- 7-day terms
- 14-day terms
- 30-day terms
- staged or milestone payments
What bank details should I put on an invoice?
If customers pay by bank transfer, make the process easy.
- account name
- sort code
- account number
- the payment reference you want the customer to use
Using the invoice number as the payment reference can make reconciliation much easier.
What description should I put on an invoice?
Be specific enough that the customer understands what they are paying for.
Should an invoice include a purchase order number?
If your customer has issued a purchase order, include its number.
Large businesses, councils and other organisations may reject or delay invoices that do not quote the correct purchase-order reference.
What are the most common invoicing mistakes?
Check official invoice requirements and VAT invoice rules. Continue to sending the invoice, late-payment chasing and small business finance.
